Privacy policy
Prins Caspian uses personal data only when needed to help you, manage a reservation or catering service, or keep the website secure. We also keep cookieless aggregate counts and use more detailed measurement only with your permission. Last updated 7 September 2026.

Prins Caspian VOF.
Prins Caspian VOF is responsible for the processing described in this notice. The business also uses the trading names Caspian Catering and Caspian Food.

What we process
Only what your enquiry or visit requires.
The information we use depends on what you do on the website. We do not sell personal data or use form contents for profiling.
- Catering and contact form: name, email address, optional phone number, contact preference, occasion, company name, date or period, estimated guest count, location and message.
- Restaurant booking: the details you enter in the TheFork module to make and manage your reservation.
- Direct contact: information and messages you choose to share by email, phone or WhatsApp.
- Dietary requirements or allergies: only when you voluntarily share them, so we can handle your enquiry and deliver the agreed catering.
- Website security: a pseudonymised IP-address hash and form-attempt timestamps, used solely to limit abuse.
- Cookieless website statistics: daily aggregate counts by page and important action only, without a visitor ID, IP address, user agent, referrer or form contents in these measurement files.
- Google Analytics after consent: technical usage information such as pages visited, device type, broad source and clicks on important actions. Form contents are not sent to Analytics.
Why we use information
To respond, deliver what was agreed and improve.
We process information to answer your enquiry, prepare a proposal or reservation, perform an agreement, resolve payment issues or lost property, and provide good customer service. Security and an appropriate review request are based on our legitimate interests. We use cookieless daily aggregate counts to improve the website; these counts do not follow or recognise visitors. Google Analytics, advertising measurement and automatically loaded external media are used only after consent. You can withdraw consent through Cookie preferences at any time.
- No newsletters or general advertising without separate permission.
- A review request is sent as close as practical to the visit or service, and you may always object to further contact.
- Google Ads campaigns and remarketing are not automatically active; marketing tags may load only after marketing consent.
Service providers
Who may receive information.
We share information only when required for the service you use or when the law requires it.
- Website and email hosting providers: to operate the website and receive and store messages.
- TheFork / La Fourchette SAS: booking module. TheFork and Prins Caspian are joint controllers for taking, managing and monitoring reservations through that module.
- Google: Tag Manager, Analytics, future Ads measurement and Google Maps, only according to your preferences or after a one-time map action.
- Meta / WhatsApp: only when you choose to contact us through WhatsApp.
- Email software providers: for reading and replying to messages.
Retention
No longer than necessary.
We delete or anonymise information when it is no longer needed, unless a legal retention duty applies.
- An enquiry that does not become an order: up to 12 months after the last contact.
- Ordinary communication about a reservation or completed service: up to 2 years after completion.
- Information forming part of the legally required financial records: 7 years.
- Contact details are not kept longer solely to request a review much later.
- The pseudonymised anti-spam IP hash: up to 16 minutes.
- Cookieless daily aggregate counts: up to 24 months.
- Google Analytics event-level data: up to 14 months; aggregated Google reports may remain available for longer.
- Your saved cookie preference: 6 months.
- TheFork retains information under its own privacy statement and the arrangements governing the booking service.
Your rights
You remain in control.
You may ask to access, correct, delete, restrict or transfer your information. You may object to processing based on legitimate interests and withdraw consent. Send requests to contact@prinscaspian.nl. We may request reasonable verification to prevent information being disclosed to the wrong person. You may also complain to the Dutch Data Protection Authority.
Security and changes
Handled with care.
We use appropriate technical and organisational safeguards, including encrypted connections, limited access and enquiry-form protections. Some providers may process information outside the European Economic Area under the safeguards provided by that service and applicable privacy law. We update this notice when our website or processing changes materially.
